The Payroll & Benefits Coordinator coordinates, gathers, reviews and analyzes the calculation and process of payroll for all US MCM/Encore employees. This position ensures that all employees are paid timely, and accurately and that all necessary policies, and procedures are adhered to (SOX, Wage and Hour, etc.), as well as the associated payroll management / regulatory reports; provides appropriate level of customer service to internal and external business partners. Additionally the Payroll & Benefits Coordinator will be responsible for reconciling and paying the benefit invoices and assisting the Benefits Team with communications.
RESPONSIBILITIES
Successfully produce a bi-weekly, multi-state payroll for over 1000 employees using Workday. Coordinate all incoming data from various departments and works with the Payroll team to ensure accuracy of the properly authorized paycheck for the US workforce. New Hires, Terminations, Employee Changes, LOAs, Uploading Wellness reimbursement, Encore Honors, Work Anniversaries, Monthly Wellness Incentives, Taxable fringe, Cash awards, Commissions payments.
Assist with benefits: 401K administration (bi-weekly funding & audits), benefit and payroll invoice reconciliation, Short Term disability calculations, benefit arrears, new parent flex time, parental leave pay, and other general administrative responsibilities.
Responds to employee questions via our ticketing system, Service Now tickets, and always offers quality customer service.
Prepares and uploads the Journal Entries for the Monthly Wages accrual, PTO true -up accrual, the PTO Liability accrual, 401K employer match, bonuses accrual and assist in answering trending variance questions after the month end close.
Responsible for running the quarterly tax filing reports.
Assists with the Bureau Labor Statistics reporting (CA & AZ).
Perform other duties, as assigned.
MINIMUM REQUIREMENTS
EDUCATION: High School Diploma
EXPERIENCE: 1 year of multi-state payroll experience. General administrative support experience. Experience with excel is required.
CERTIFICATION(S): Certification(s) required
KNOWLEDGE, SKILLS, ABILITIES, AND OTHER ATTRIBUTES:
- Knowledge of Workday HRIS system. Advanced knowledge of federal and multi-state tax laws. Knowledge of 401(k) administration and benefits.
- Skilled in MS Office Excel, Workday system, and conducting audits.
- Ability to properly manage time, meet deadlines, communicate with employees and management, handle confidential information
- Previous experience with Time Tracking System, managing 401(k) and completing YTD payroll/benefit audits.
PREFERRED QUALIFICATIONS
EXPERIENCE: Experience working at a mid-size company (1,400 employees) with multi-state payroll.
CERTIFICATION(S): Payroll certification (e.g. CPP)
KNOWLEDGE, SKILLS, ABILITIES, AND OTHER ATTRIBUTES:
- Knowledge of Workday HRIS system. Advanced knowledge of federal and multi-state tax laws. Knowledge of 401(k) administration and benefits.
- Skilled in MS Office Excel, Workday system, conducting audits and detailed orientated.
- Ability to work independently and multi-task, with a strong attention to detail. Ability to communicate effectively, excellent verbal and written communication skills. Ability to establish and maintain cooperative working relationships with all during the course of work.
