Job Purpose
El rol principal es apoyar al Country Manager de Iberia de la empresa y al Operational Team de Dirección (OT) cuando sea necesario, así como garantizar el correcto funcionamiento de las oficinas y servicios generales. Este puesto combina funciones estratégicas de asistencia ejecutiva con la gestión operativa y logística del espacio de trabajo, asegurando eficiencia, organización y una experiencia óptima para empleados y visitantes.
Key Accountabilities & Responsibilities
- Gestión / coordinación de agendas, viajes, documentación y gastos para el Country Manager y OT.
- Control, elaboración y custodia de actas de reuniones clave, con especial énfasis en sesiones de Dirección y Comités estratégicos, asegurando la reserva de sala ejecutiva, redacción de Agenda, toma de Minutas y la correcta identificación de decisiones, acciones, responsables y fechas de compromiso, así como su seguimiento hasta cierre.
- Enlace tanto interno como externo con miembros de la Junta Directiva, partes interesadas clave y clientes.
- Actuar como punto de contacto entre la dirección y otros departamentos o entidades externas.
- Recepción y gestión de visitas, proveedores, asistencia a reuniones, redacción de actas y acciones.
- Compilar / archivar cartas confidenciales y otra documentación.
- Preparar documentación, presentaciones e informes.
- Apoyo en proyectos especiales asignados por la dirección.
- Organizar y gestionar eventos y off-sites en coordinación con RH.
- Gestión de las oficinas, incluyendo:
- Supervisar y asegurar el cumplimiento de las políticas internas relacionadas con el uso y funcionamiento de la oficina.
- Realizar inspecciones periódicas para comprobar el estado general de las instalaciones, coordinando también las revisiones obligatorias (extintores, alarmas contra incendios y otros sistemas de seguridad).
- Velar por el adecuado cumplimiento de las políticas de Seguridad Física en coordinación con la Recepción y la Seguridad privada de la planta.
- Atender y resolver incidencias relacionadas con el espacio de trabajo, garantizando el correcto funcionamiento de sistemas eléctricos, climatización y demás servicios técnicos.
- Control de suministros: material de oficina, merchandising, consumibles y otros recursos necesarios.
- Gestión y seguimiento de los presupuestos de la oficina, incluidas las adquisiciones. Comprobación y seguimiento de la facturación y los pagos.
- Mantener la relación con la propiedad y otros interlocutores relevantes (mantenimiento, seguridad, administración).
- Coordinar la logística interna: organización de mudanzas, reasignación de puestos de trabajo, control de inventario y realización de pedidos
- Cumplimiento de buenas prácticas ambientales en oficina incluyendo reportes de los indicadores ESG críticos.
